Explain the difference between sales and money received
How we help
The bank deposit rarely equals the day’s order total. Settlement timing, partial refunds, provider fees and currency conversion can shift the numbers, while unmatched transaction references turn a routine reconciliation into a manual search across several portals.
BrownBag defines the links between each order, payment transaction and settlement batch. We connect the available reports or interfaces, build agreed matching rules and separate timing differences from records that need a decision. This service focuses on electronic payment settlement; courier COD reconciliation is a separate operating flow.

How the work is handled
Map identifiers and expected amounts
Review order, charge, refund and settlement references. Agree treatment of fees, currencies, rounding and period boundaries so the team knows which amount should match at each stage.
Connect reports and matching rules
Import or retrieve approved gateway and settlement records. Match exact references first, identify missing or repeated records and route uncertain matches for review instead of silently forcing a balance.
Validate a period-end close
Reconcile representative settlement batches with finance. Work through partial refunds, pending payments and cross-period adjustments, then hand over a report with discrepancy owners and resolution notes.

Your questions, answered
Can reports from several gateways be combined?
Yes, where their records are available. Each source needs its own identifier and fee mapping before it enters a common view, so the combined report preserves the explanation behind each amount.
Will every difference be an error?
No. Some differences come from legitimate settlement timing, fees or adjustments. The report should classify those separately from missing records, duplicate transactions and discrepancies that need investigation.
