Building & managing a store

Create a product record you can reuse

Reduce repeated corrections by separating product facts from the copy and formatting each channel needs.

2 minute read · Practical guide

The key decision: A dependable catalogue starts with an agreed source record and clear field ownership.

Start with stable identifiers

Give every sellable item a consistent internal reference. Record how variants relate to a parent product, and distinguish identifiers used by your business from those required by a marketplace. Avoid using a display title as the only key between systems; titles are likely to change.

Separate facts from presentation

Keep dimensions, materials, package contents, care instructions and variation attributes in structured fields. Create channel-specific titles and descriptions from those verified facts. This makes it easier to correct a measurement once while still writing useful copy for different customer contexts.

Create a small acceptance checklist

Check a representative sample before a bulk upload. Verify that images match the selected variant, units of measurement are explicit and the package contents are unambiguous. Confirm who may approve product claims. Do not copy a supplier’s description without checking it against the actual product.

Keep image references with the product

Use a consistent file and variant naming convention. Record which images show the actual item, its details and its use. Preserve the source and usage permission. Useful alternative text should explain the image’s role rather than repeat a list of search keywords.

Close the correction loop

When a platform rejects a field or support identifies a recurring misunderstanding, correct the source record and track the affected destinations. Set an owner for new products and changes. A spreadsheet may be sufficient at a small scale; the important decision is which record is authoritative and how changes are approved.
